As you know, we’re constantly working on ways to improve your processes in Jim2® Business Engine, and one thing we’ve done in Version 3.2 is to enhance Stock Procurement.
 
Stock Procurement allows you to manage your stock levels based on history, usage and fixed minimum quantity levels.
 
It works by first calculating which stock needs reordering, then automatically creates the purchase orders and stock transfers needed to meet those requirements. It also takes into account excess stock levels that are available in other locations, and could be ‘transferred’ rather than purchased. 
 
A handy new feature we’ve added is time-based procurement and monitoring. For example, if you want to hold stock for a set period of time, you can see and control how much stock you have remaining, and know how long it will last. Not only that, you can also know when you have more stock than you want to hold for that period – so you can organise to sell it off. No more money tied up needlessly in excess stock.

The Dashboard can be used to monitor the health of your business in real time, help prepare for meetings, manage your operations, and keep an eye on productivity at a glance. Pie charts, reports, graphs and data on your business – all in real time, all in one place.
 
Every business is unique, so Dashboard is completely customisable to show you exactly the reports and information you want to see. Using the simple Dashboard Customisation controls you will have your own custom view set up in no time.
 
Use the Performance Dashboard 'Account Watch' in Jim2® to see the balance in any account from your GL. Compare this year's sales to last year's, assets versus liabilities and plenty more.
 
 
One of the major keys to controlling cash flow is to manage your debtors and creditors: Jim2® makes it quick and easy to see who owes you money, as well as what payments you have outgoing. Easily look up overdue accounts, invoices, analyse customers on credit hold and those who are over their credit limit.

Email Rules and Templates are an extremely powerful and flexible method of formatting, automating and actioning emails received by your business in Jim2®. For example, Rules can look at incoming emails and automatically:
  • Work out who an email is from and link it to the appropriate CardFile
  • Apply Email Tags to ‘steer’ an email into the correct area of your business (for example Support, or Sales)
  • Work out if it is related to a Project (such as a MS contract, machine)
  • Extract the customer’s reference number
  • Work out the nature of the email (onsite service required, for example)
  • Work out if the request is urgent
  • Create a Service Job for the Project
  • Make the Job’s priority ‘urgent’
  • Set the Job’s Customer Reference Number
  • Attach the Email to the Job
  • Tag the Email with ‘Service’
And the result of this...
An onsite service Job is automatically created, linked to a Project/Machine with the email attached, AND the unread email appears in your support email list. The Job also appears in your urgent Job List, flagged that it has an unread email. From then on, all email correspondence regarding that Job is automatically bundled together, including the final invoice and even the payment advice back from the customer.
 
Templates can also be set up to respond consistently to common email questions/requests, as well as emailing of statements, page requests, login details, and much more.

This is an example of the Happen default template. You can see we use the {{ System.User }} macro to put the Name in and the {{ System.User.JobTitle }} for the Job Title - this information is taken from the user's Cardfile. These and other macros can be found using the General Macros button in the Template Ribbon menu.
 
This is only a brief outline of the Email Rules functionality and how useful and time saving it can be.

Continuing on with Email in Jim2®, this time we’ll talk a bit about Email Folders and how much easier it becomes when you can group your emails in specific folders.

There are four standard global system email folders: Inbox, Outbox, Sent and Deleted, and all emails within Jim2® appear in their appropriate system folder. For example, all emails sent from Jim2® will appear in the System Sent folder, regardless of who sent them or who the email was sent to. However, security can be set at a user or group level, allowing you to control who sees what.

Outside of this standard four, you can create Custom email folders in Jim2® to suit your own needs.  For example, emails sent from or received by a particular email address (such as support@yourcompany.com.au) can be tagged as ‘Support’ and will show in the ‘Support’ folder.

Email lists work just like any other list within Jim2® except that they must be based on an Email Folder. Having specific email lists allows staff members to concentrate on their particular areas and speed up response times. This also provides a method of enabling user security at an email folder level. 
 
 
 
Unlike other email clients, email folders can display both incoming and outgoing emails, so you can easily follow the correspondence. It’s not necessary to create separate ‘Support Outbox’, ‘Support Inbox’ folders, unless you choose to.
